How to Use This Calculator

Add each task that currently takes a significant chunk of time in your business. Think about things like writing emails, creating social media content, responding to customer inquiries, pulling reports, organizing data, or scheduling. These are the kinds of tasks where AI tools tend to make the biggest dent.

For the AI savings estimate, we use a conservative range. Tasks that are mostly text-based and repetitive, like drafting the same type of response over and over, often see savings toward the higher end. Tasks that require more back-and-forth, judgment calls, or nuanced context tend to see savings toward the lower end. When in doubt, pick the middle and adjust after you have a few weeks of real-world data.

The hourly rate field is optional, but it turns the time savings into a dollar figure that makes it easier to think about ROI. If you are calculating for yourself as the owner, use what your time is actually worth to the business, not just your base salary. For a business owner, that number is usually higher than people first assume.

What Do You Do With These Numbers?

The total at the bottom is a starting point for a real conversation. If the calculator shows you that your team could save 15 hours a week across your most common tasks, that does not mean 15 hours magically disappear from the calendar. It means 15 hours that are currently going to manual, repetitive work could be redirected. That might look like taking on more clients without hiring, getting more content out the door, or simply giving your team time back to focus on work that actually needs human attention.

Most small businesses find that the first few tasks they automate free up enough time to make the cost of AI tools feel completely trivial. A single tool that saves five hours a week at a meaningful hourly rate pays for itself many times over, even at modest estimates. The math tends to be pretty clear once you put real numbers in.
